Full job description

Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to support our independent financial service office. The ideal candidate will possess strong clerical skills, excellent communication abilities, and proficiency in various software tools. This role is vital in maintaining smooth daily functions, managing correspondence, and providing exceptional customer service to clients and fellow staff alike.

Duties

Manage client inquiries, front desk responsibilities, including greeting visitors with professionalism and courtesy
Perform data entry tasks with accuracy using Microsoft Office, Google Workspace, and QuickBooks including CRM management.
Maintain organized filing systems both electronically and physically, ensuring easy retrieval of documents
Assist with scheduling appointments and coordinating meetings for clients and industry representatives.
Support bookkeeping activities such as invoicing, billing, and basic financial record keeping
Provide customer support via phone, email, and in person, demonstrating excellent phone etiquette and customer service skills
Proofread documents for accuracy and clarity before distribution
Support office management with miscellaneous clerical duties such as copying, scanning, and organizing suppliesRequirements
Proven experience in an administrative or clerical role, preferably within investment management office is a asset.
Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and QuickBooks, CRM software.
Excellent computer skills with the ability to perform data entry efficiently and accurately
Exceptional organizational skills with keen attention to detail and proofreading abilities
Ability to handle multiple tasks simultaneously while maintaining professionalism under pressure
Strong customer service orientation with effective communication skills and good phone etiquette
Experience in finance or basic financial record management is a plus
Knowledge or experience in the financial - investment management a asset but not required

Pay: $50,000.00-$60,000.00 per year
