Responsibilities

OVERALL PURPOSE:

The Maintenance Assistant maintains and updates work orders in the system; provides administrative support to shift scheduling for maintenance employees in the assigned department(s); maintains records of time sheets for maintenance employees in the assigned department(s); provides administrative and clerical support to maintenance managers, supervisors and department staff; facilitates processes to deal with unmatched invoices and/or compiling back-up documents to support an expenditure; prepares the Maintenance Division shift sign-up sheets and seniority lists for all maintenance departments. Maintains and updates training and qualifications records for department staff including the maintaining of training schedules, training records, and preparing related reports.

RESPONSIBILITIES:

Maintains and updates work orders:

Checks coding and work order authorizations for accuracy.

Inputs, updates, and audits work order data in systems (CMMS and EAM).

Upon request generates requisitions for approvals and creates E-requisitions (FSM).

Distributes reports and maintains files.

Provides administrative support to shift scheduling for maintenance employees in the assigned department(s):

Produces forms for annual sign-up, input shift, and vacation requests.

Updates and produces weekly staff schedules.

Provides administrational support to facilitate overtime process and updates equalization lists.

Contacts employees to fill shifts and ensures compliance collective agreement and company policies with requirements.

Maintains short-term and long-term disability (STD and LTD) status records.

Maintains and updates training and qualifications records, training schedules, and preparing related reports.

Coordinates, prepares, processes and audits departmental timesheets ensuring accuracy and compliance:

Act as the first contact for payroll with timesheets and schedule errors.

Processes departmental timesheets for bargaining unit and exempt staff, which includes ensuring timesheets to reflect exceptions to the established schedule.
Reviews timesheets entries and ensures payroll information is accurate and complies with policies and collective agreement for:
Overtime
Shift Premiums
Shift Exception Forms (SEF)
WCB
LTD
Rehab etc.

Assists employees with various time sheets and coordinates time-off requests.

Prepares, assesses, and audit timesheets for payroll processing.

Ensures shift trades and swaps comply with established shift restrictions.

Prepares staffing resources data used for planning and scheduling.

Provides administrative and clerical support:

Responds to requests for information from departmental employees, supervisors, and managers.

Coordinates meetings for the department, takes meeting minutes, facilitates visitor arrivals and coordinates vehicle assignments.

Maintains various records, updates bulletin boards, and processes mail.

Organizes departmental coverall/uniforms, tool Inventories, licenses, permits and regulatory filings.

Distribution of system keys/access cards.

Maintains current filing systems for all department related information.

Processes unmatched invoices:

Under the direction of the Supervisor creates purchase order requisitions and records local purchase orders.

Works with the Manager and Supervisors to resolve discrepancies between invoices and purchase orders.

Matches local purchase orders with vendor documents and corresponds with vendors.

Processes credit card purchases and forwards summaries to accounts payable.

Qualifications

EDUCATION:

Requires completion of Grade 12 along with courses in clerical skills, typing and Microsoft Office.

EXPERIENCE:

Requires three (3) years of clerical experience, with previous experience in:

Maintenance of a large number of manual and computerized files and records pertaining to maintenance, purchasing, inventory and stores.

Scheduling, and/or activities involving knowledge of SkyTrain, and where organizational and analytical skills have been gained.

A period of up to three (3) months on the job is required to become familiar with various systems such as Computerized Maintenance Management System (CMMS), Dayforce for timekeeping, Enterprise Asset Management (EAM), records, forms, and procedures. In addition, thorough knowledge of collective agreement is required as it pertains to payroll and hours of work for scheduling.

Other Information

This role is responsible for our Fleet Planning department.

Recruitment Process: An applicant will be required to demonstrate their suitability for this position by meeting the minimum level of qualifications and experience in order to be invited into the selection process. A standard interview format will be used including general, scenario and behavioural descriptive interview questions.

Rate of Pay

Wage: $40.84 per hour

Please note: All new employees will be subject to a 6-week trainee rate at 75% of the hourly rate with the remainder of the first year at 90% of the hourly rate.
