Job Overview

We are seeking a dynamic and friendly Front Desk Agent to be the welcoming face of our organization. In this vital role, you will serve as the first point of contact for visitors and clients, ensuring a positive and professional experience from the moment they arrive. Your energetic approach and exceptional organizational skills will help streamline daily operations, manage communications, and support administrative functions. This paid position offers an exciting opportunity to develop your customer service and clerical expertise in a fast-paced environment.

Responsibilities

Greet visitors warmly, assist with check-in procedures, and direct them to appropriate personnel or departments
Manage multi-line phone systems efficiently, answering inquiries with professionalism and courtesy
Handle incoming and outgoing correspondence, including emails, phone calls, and mail distribution
Maintain accurate records through data entry, filing, and document proofreading to ensure organizational clarity
Support administrative tasks such as scheduling appointments, managing calendars, and preparing reports using Microsoft Office and Google Workspace tools
Perform clerical duties including filing, photocopying, and organizing documents to keep the front desk area tidy and accessible
Assist with basic bookkeeping tasks using QuickBooks or similar software to support financial recordkeeping

Experience

Previous office experience with a focus on front desk or administrative support roles preferred
Strong computer skills including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry capabilities
Experience working with multi-line phone systems and demonstrating excellent phone etiquette
Knowledge of clerical procedures such as filing, proofreading, and document management
Customer service background with a focus on providing support in busy environments
Medical or dental office experience is a plus, especially familiarity with front desk operations in healthcare settings
Organizational skills combined with the ability to multitask efficiently in fast-paced environments
Basic bookkeeping knowledge using QuickBooks or similar accounting software is advantageous
