Full job description

Purchase Order / Office Administrator

Golden Equity Properties is seeking a highly organized and detail-oriented Purchase Order / Office Administrator to join our Montreal office. This position plays a key role in supporting the operations, maintenance, and accounting teams by managing purchase orders, vendor coordination, invoice tracking, and general office administration in a fast-paced property management environment.

Key Responsibilities

Create, issue, and track purchase orders for maintenance, repairs, supplies, utilities, and building operations
Ensure all purchase orders are properly approved before work is completed or invoices are processed
Match invoices to approved purchase orders and investigate discrepancies in pricing, quantities, or services provided
Coordinate with vendors, contractors, and service providers regarding orders, deliveries, billing inquiries, and payment status
Maintain accurate electronic and physical records of purchase orders, invoices, vendor information, contracts, and supporting documentation
Assist with invoice coding and submission to the accounting department for processing
Monitor outstanding purchase orders and follow up with vendors and internal departments to ensure timely completion
Support the operations and property management teams with administrative tasks, data entry, scheduling, correspondence, and document preparation
Answer incoming calls and emails and direct inquiries to the appropriate department
Assist with office organization, filing, and maintaining confidential company records

Qualifications

Minimum 2 years of experience in office administration, purchasing, accounts payable, or property management administration
Experience creating and managing purchase orders and working with vendor invoices
Strong attention to detail, accuracy, and organizational skills
Ability to manage multiple priorities and meet deadlines in a fast-paced environment
Proficiency in Microsoft Office (Excel, Word, Outlook)
Strong written and verbal communication skills in English
Experience with property management or accounting software is an asset
