Nu Image Medical is looking for a friendly, organized, and professional Front Desk & Client Administrative Coordinator to join our team on a part-time basis, approximately 20 to 25 hours per week.
This role is ideal for someone who genuinely enjoys working with people, providing exceptional customer service, and keeping a busy front office running smoothly. Experience in administration and client service is essential, while knowledge or experience in esthetics, skincare, or the medical aesthetics industry is considered a strong asset.
Key Responsibilities
● Welcome and provide a warm, professional experience for all clients
● Manage front desk operations, including appointments, scheduling, confirmations, and
client inquiries
● Answer phones, emails, and other client communications in a timely and professional
manner
● Process payments, maintain accurate client records, and assist with administrative tasks
● Support the team with day-to-day office organization and coordination
● Assist with client follow-ups and treatment-related inquiries
● Maintain a clean, organized, and welcoming reception area
● Support retail and product sales as needed
● Uphold client confidentiality and professional standards
● Work collaboratively with the Nu Image Medical team to ensure an exceptional client
experience
The Ideal Candidate
We are looking for someone who is:
● Warm, personable, and genuinely passionate about customer service
● Highly organized with strong attention to detail
● Confident and professional in both verbal and written communication
● Comfortable managing multiple tasks in a busy environment
● Reliable, punctual, and able to work independently
● Experienced with scheduling, administrative duties, and client/customer service
● Comfortable learning new systems and technology
● Knowledge of esthetics, skincare, medical aesthetics, or related services is an
asset
● Previous experience in a medical, spa, salon, wellness, or aesthetics setting is an asset
