Role and Objectives:
The Office & People Administrator is the first point of contact at Head Office, creating a welcoming and professional experience for visitors, contractors, and employees. This role supports the coordination of site tours, meetings, and events, ensuring they run smoothly and safely.
The role also provides administrative support to Head Office and the People & Culture team, helping with day-to-day operations and employee engagement activities. Working closely with the People & Culture Coordinator, this position helps maintain an organized, efficient, and positive workplace.
Responsibilities:
Front Desk & Visitor Support
- Serve as the first point of contact for the Castlegar modular facility, greeting visitors, employees, contractors, and delivery personnel in a professional and welcoming manner
- Manage front desk activities, including answering inquiries, directing visitors, and ensuring guests are connected to the appropriate site contact
- Support visitor sign-in processes and assist with site access requirements, safety orientation coordination, and general reception duties as needed
Administrative Support
- Provide day-to-day administrative support to the General Manager and site leadership team, including calendar coordination, document preparation, meeting support, and follow-up on administrative priorities
- Assist production managers and site teams with general administrative tasks that support smooth day-to-day operations
- Prepare and organize documents, presentations, reports, and other materials required for site operations, leadership meetings, and business updates
- Help prepare recurring reports and supporting materials for leadership, including site leadership team updates, board materials, and other internal reporting as needed
Site Office Support
- Support general office administration for the site, including maintaining office supplies, shared spaces, records, and administrative systems
- Coordinate and submit administrative reporting and documentation to the finance team accurately and on time
- Assist with organizing files, records, forms, and site documentation to support efficient operations and compliance with company processes
- Provide flexible administrative support wherever needed to help site management and production staff work effectively and efficiently
People & Culture Administrative Support
- Provide administrative support to production managers and site leaders with People & Culture-related tasks, including forms, documentation, scheduling, and coordination
- Assist with interview coordination, employee documentation, and other routine administrative activities that support the employee lifecycle at the site
- Work closely with internal teams to ensure administrative People & Culture processes are completed accurately, confidentially, and in a timely manner
Tours, Events & Coordination
- Assist with on-site tours and events by supporting scheduling, logistics, visitor coordination, and preparation of materials
- Help coordinate meetings and site activities to ensure logistics, communication, and administrative details are handled effectively
- Identify opportunities to improve administrative processes, coordination, and overall support to the site team
Team Collaboration
- Build strong working relationships across the site and provide responsive support to production staff, management, and corporate teams
- Demonstrate a proactive, organized, and service-oriented approach to supporting site operations and administrative priorities
- Contribute to a positive, professional, and well-coordinated work environment that supports smooth site operations
Requirements:
- Diploma or certificate in Business Administration, Office Administration, or a related field is preferred
Experience:
- 2+ years of experience in administrative, office coordination, reception, or site support role
- Experience supporting managers or leadership teams and working in a fast-paced operational environment is an asset
Skills & Knowledge:
- Strong working knowledge of Microsoft Office, including Outlook, Word, Excel, and PowerPoint
- Excellent organizational skills, attention to detail, and ability to manage multiple priorities effectively
- Strong written and verbal communication skills with the ability to interact professionally with employees, visitors, and leadership
- Ability to work proactively, use sound judgment, and take initiative in a dynamic site environment
- Demonstrated ability to provide high-quality administrative support and maintain confidentiality when handling sensitive information
Physical Requirements
- Ability to occasionally travel between Kalesnikoff’s locations
- Ability to sit, stand, or move about the office and manufacturing environment for extended periods

Compensation Package:
- Salary: $48,000.00-$60,000.00
- Schedule: Monday-Friday
