Full job description

We are looking for an Accounts Receivable Clerk to support donation processing and receipting activities for a charitable organization in Burlington, Ontario. This contract opportunity with permanent potential is ideal for someone who brings strong accuracy, sound financial judgment, and a service-oriented approach to handling donor transactions. In this role, you will help maintain reliable gift records, coordinate closely with finance and fundraising teams, and ensure contributions are entered and acknowledged in accordance with established controls and compliance standards.

Responsibilities:

Receive and process a variety of incoming contributions, including cheques, electronic transfers, grants, securities, and shared-agency gifts, ensuring each transaction is coded and recorded accurately.
Prepare deposits and enter donation batches into internal databases, then review and post completed entries while maintaining strong attention to detail.
Record mailed and digital donations on a daily basis, following approved financial control procedures to support accuracy and completeness.
Issue electronic and mailed tax receipts within required timelines and in line with organizational policies and regulatory requirements.
Work closely with finance staff to reconcile deposit information, investigate discrepancies, and help resolve payment-related issues efficiently.
Administer donor account activity for individual, estate, stock, donor-advised, and multi-agency gifts, ensuring each contribution is handled according to applicable guidelines.
Research unusual transactions or incomplete records, gather supporting information, and seek clarification when additional review is required.
Support annual audit activities by preparing documentation and responding to finance team requests in a timely manner.
Help maintain clean and reliable donor data by reviewing duplicate records, correcting inconsistencies across integrated systems, and updating account details as needed.
Provide reporting support and respond to internal inquiries from fundraising and finance teams regarding gift activity, revenue details, and donation records.
Experience in accounts receivable, donation processing, billing, cash application, or account reconciliation.
Strong working knowledge of financial recordkeeping practices, including accurate data entry, posting, and transaction review.
Proficiency with Microsoft Excel and Microsoft Word for reporting, tracking, and documentation.
Familiarity with Salesforce or comparable CRM and financial systems used to manage donor or payment records.
Ability to investigate discrepancies, reconcile information, and follow established controls with a high degree of accuracy.
Excellent organizational skills with the ability to manage recurring deadlines and high-volume transactional work.
Strong communication skills and a collaborative approach when working with finance, fundraising, and other internal stakeholders.
