POSITION OVERVIEW
In the position of Inventory and Administration Coordinator, you will make a difference every single day as you support accurate inventory control, efficient documentation, cross-functional coordination, and administrative processes that help keep operations running smoothly and in compliance with company procedures.

EDUCATION, EXPERIENCE AND SKILLS
· Post-secondary education in Office Administration, Business Administration, Supply Chain Management, Operations, or a related field. Equivalent combination of education and experience will be considered.
· Minimum three (3) years of progressive experience in an administrative, inventory control, operations support, or manufacturing environment.
· Proficient in Microsoft Office Suite, particularly Excel, Word, and Outlook, with strong data entry and record management capabilities.
· Experience using Enterprise Resource Planning (ERP) systems, preferably Microsoft Dynamics 365 Finance & Operations (F&O), for inventory transactions, inventory adjustments, reporting, and data maintenance.
· Working knowledge of inventory control principles, inventory reconciliation, cycle counting, warehouse operations, and material flow processes.
· Understanding of manufacturing operations, production processes, and quality assurance requirements within a food manufacturing environment is considered an asset.
· Demonstrated ability to accurately process and maintain inventory transactions, investigate discrepancies, and support inventory accuracy initiatives.
· Strong analytical and problem-solving skills with the ability to identify root causes and implement effective solutions.
· Excellent organizational, time management, and prioritization skills with the ability to manage multiple tasks and meet deadlines with minimal supervision.
· Strong attention to detail and commitment to maintaining accurate records, documentation, and reporting.
· Ability to work collaboratively with production, warehouse, quality assurance, logistics, accounting, and management teams to achieve operational objectives.
· Effective verbal and written communication skills with the ability to interact professionally with employees, managers, vendors, and external partners.
· Experience preparing reports, maintaining operational documentation, and supporting compliance with company policies and regulatory requirements.
· Demonstrated ability to adapt to changing priorities and operational demands in a fast-paced manufacturing environment.
· Commitment to continuous improvement and willingness to participate in training and professional development opportunities.
RESPONSIBILITIES
Documentation
- Coordinate and prepare all necessary company and regulatory documentation as required.
- Provide order pick lists and bills of lading to facilitate order fulfillment.
- Maintain and update databases, records, inventory documentation, and company files.
- Ensure all inventory and operational records are complete, accurate, and maintained in accordance with company requirements.
Internal Coordination & Inventory Management
- Foster effective relationships with cross-functional departments.
- Communicate effectively with all departments regarding operational issues, inventory requirements, lead times, and production needs.
- Ensure all transactions affecting inventory levels are accurately processed and recorded.
- Enter and maintain inventory transactions within Microsoft Dynamics 365 Finance & Operations (F&O), including receipts, transfers, consumption, and adjustments.
- Perform inventory adjustments and investigate discrepancies to maintain accurate inventory records.
- Support physical inventory counts, cycle counts, reconciliations, and inventory audits.
- Work closely with the Production Manager to ensure accurate inventory reporting and alignment between physical inventory and system records.
- Collaborate with logistics, warehouse, production, and quality assurance teams to support efficient inventory management and product availability.
- Generate, analyze, and distribute inventory and operational reports as required.
Safety & Compliance
- Standardize, document, support, and adhere to inventory management, administrative, and operational procedures (Standard Operating Procedures). Ensure strict compliance with these procedures.
- Ensure compliance with corporate policies as well as industry and regulatory standards.
- Support food safety, quality, and regulatory compliance initiatives through accurate recordkeeping and documentation management.
Continuous Improvement
- Document and communicate operational requirements and process expectations.
- Support continuous improvement initiatives through accurate recordkeeping, inventory tracking, process documentation, and effective cross-functional communication.
- Identify opportunities to improve inventory accuracy, reporting efficiencies, and administrative processes.
- Assist with the development and implementation of process improvements related to inventory control and administrative functions.
Administration
- Provide comprehensive documentation and follow-up on company meetings and activities as directed by the Plant Manager.
- Submit purchase requirements to vendors following approval from the Plant Manager.
- Compile documentation required for accounts payable processes.
- Organize and maintain a systematic filing system for company records, accounts payable invoices, inventory documentation, and operational records.
- Assist with inventory management, reconciliation, and reporting as needed.
- Prepare and distribute reports as requested.
- Provide general administrative and reception support to ensure the efficient operation of the facility.
- Coordinate office supplies, forms, and administrative resources as required.
- Support management with administrative projects and other duties as assigned.
