Full job description

Overview
We are a small, established, business in the construction industry seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will play a vital role in maintaining smooth office operations, providing exceptional customer service, and supporting various administrative functions. This position offers an opportunity to work in a dynamic environment where your skills in office management, data entry, and communication are valued and essential for success.

Responsibilities

Manage front desk operations, including greeting visitors, handling phone calls, and emails, with professionalism and courtesy
Perform data entry tasks accurately using Microsoft Office, and Sage 50
Maintain organized filing systems both electronically and physically, ensuring easy retrieval of documents
Perform bookkeeping and basic financial record keeping using Sage 50
Provide excellent customer support by addressing inquiries via phone, email, or in person with proper etiquette
Support administrative tasks such as proofreading documents, scheduling appointments, and managing our service calendar
Handle clerical duties including filing, photocopying, scanning, and preparing reports or correspondence
Coordinate with team members to ensure efficient workflow
Support office management tasks that enhance overall organizational efficiency

Requirements

Proven office experience with strong organizational skills and attention to detail
Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Understanding of the fundamentals of bookkeeping for accounts receivables/payables
Familiarity with Sage 50 or bookkeeping software considered an asset
Excellent computer skills including data entry, typing, proofreading, and document management
Prior clerical experience in a professional setting is preferred
Strong customer service skills with the ability to communicate effectively via phone and email
Experience working in a fast-paced office within the construction industry will be beneficial
Ability to manage multiple tasks efficiently while maintaining a high level of accuracy
Demonstrated organizational skills with the ability to prioritize workload effectively
Experience with office equipment such as filing systems, copiers, and scanners, is desirable
Professional phone etiquette and a friendly demeanor are essential for providing exceptional customer support. This role is an excellent fit for candidates who thrive in fast-paced environments and are committed to delivering outstanding administrative support.

Pay: $20.00-$25.00 per hour
