Position Summary
The Inventory & Logistics Coordinator ensures the right product moves from Moose Jaw to BC at the right time, in the right quantity, and in the correct condition to meet all sales orders and customer shipment timelines. This role acts as the central control tower between Production, Sales, Warehousing, and Transportation teams across SK and BC facilities.
Key Responsibilities
Inventory Transfer Planning (Moose Jaw to BC)
- Review daily production forecasts, finished goods availability, and sales order requirements
- Determine optimal inter-plant transfer quantities and timing to maintain BC inventory at required levels
- Create and maintain weekly SK to BC transfer plans (forecast and actual)
- Prioritize products with short shelf life, customer commitments, or special feature orders
- Ensure transferred inventory aligns with sales order allocation, forecast demand, and production needs
Inter-Plant Logistics Coordination
- Work with Transportation team and carriers (internal or external) to schedule transfer loads
- Confirm trailer/reefer availability, loading times, temperature set points, and paperwork
- Communicate daily transfer schedule to Moose Jaw Shipping, BC Receiving, and Sales
- Track all loads from departure to arrival; escalate delays or temperature issues immediately
- Ensure all SK to BC transfer loads follow CFIA regulatory requirements
Sales Order Fulfillment Control
- Review open sales orders across all customers (domestic and export)
- Work with Sales to confirm order quantities, available dates, and customer priorities
- Allocate inventory to orders and flag shortages in advance to Production and Sales
- Coordinate order picking readiness with BC and Moose Jaw warehouses
- Ensure direct-ship orders from Moose Jaw meet customer production date and delivery date requirements
Inventory Accuracy & Reconciliation
- Monitor system quantities (Macola ERP) versus actual inventory at Moose Jaw and BC facilities
- Support weekly and monthly cycle counts; investigate discrepancies
- Validate product age, rotation, and ensure FIFO/FEFO is followed
- Track in-transit inventory and confirm receiving within 24 hours after arrival
Cross-Functional Communication
- Act as the single point of contact for internal inventory movement across Moose Jaw Production, Moose Jaw Shipping, BC Warehouses Receiving (including outside storage), Sales Team, and Transportation/Logistics
- Provide daily transfer updates and weekly forecast meetings
- Communicate any shortages, new customer requests, or stocking risks immediately
Reporting & Planning
- Maintain a weekly dashboard for production versus sales demand, SK to BC transfer volumes, direct-ship volumes, in-transit status, and order fulfillment performance
- Prepare monthly reports for management review on inventory flow and service-level KPIs
- Recommend improvements to load planning accuracy and warehouse capacity
Required Qualifications
- Experience in inventory planning, demand planning, or logistics coordination
- Strong communication and cross-department coordination skills
- High attention to accuracy and detail
- Ability to work under tight timelines and react quickly to order changes
- Strong problem-solving mindset and ability to escalate issues effectively
- Highly organized with strong follow-up discipline
Preferred Qualifications
- Experience in meat processing, food manufacturing, or perishable goods industries
- Familiarity with Macola ERP or similar inventory management systems
- Knowledge of CFIA regulatory requirements for food transportation
- Experience managing inter-plant transfers and cold chain logistics
