Full job description

Job Description

Viva Deli is looking for a highly organized, detail-oriented, and confident person to help organize and maintain our HACCP plan and food safety documentation at our food manufacturing facility in Blackfalds, Alberta.

This role would be a great fit for a bookkeeper, administrative professional, or procedure-focused person who is excellent with paperwork, computer systems, checklists, records, and follow-up.

The most important qualities for this role are exceptional attention to detail, strong computer skills, reliability, and the confidence to take ownership of paperwork and documentation systems.

Responsibilities

Help organize, maintain, and update HACCP records and food safety documentation
Review forms, logs, and paperwork for accuracy and completeness
Ensure documents are filed, tracked, and easy to access
Follow established procedures carefully and consistently
Help prepare records for internal reviews, inspections, audits, and CFIA requirements
Work with management and staff to ensure required paperwork is completed on time
Follow up with team members when forms, records, or documents are missing or incomplete
Speak up when paperwork is not supplied on time or procedures are not being followed
Assist with spreadsheets, digital files, email communication, and organized record-keeping systems
Support general administrative and procedure-based tasks as needed

Ideal Candidate

The ideal candidate is someone who is naturally organized, accurate, and comfortable working with systems and procedures. This person should be able to take a leadership role in keeping documentation on track and must be willing to follow up with staff when paperwork is late, missing, or incomplete.

Bookkeeping experience is preferred because this role requires strong record-keeping habits, accuracy, consistency, and the ability to follow procedures carefully.

Qualifications

Must live in or near the Blackfalds, Alberta area
Bookkeeping, administrative, quality control, or documentation experience preferred
Exceptional attention to detail is required
Great computer skills, including spreadsheets, digital files, email, and organized record-keeping systems
Strong ability to follow procedures and checklists
Confident communicator who is willing to speak up when paperwork is missing or late
Organized, reliable, consistent, and self-motivated
Comfortable working with forms, binders, spreadsheets, and digital records
Able to work independently and stay on top of deadlines

Schedule

15–20 hours per week
Part-time hours
Schedule to be discussed with the successful candidate
