Job Overview

We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the heartbeat of our office operations, ensuring smooth daily functions and providing exceptional support to staff, clients, and visitors alike. Your energetic approach and attention to detail will help foster an efficient, welcoming environment where everyone feels valued. From managing administrative tasks to handling customer interactions, you will play a key role in keeping our office running seamlessly and professionally.

Responsibilities

Manage front desk operations, greeting visitors with a friendly and professional demeanor while maintaining a tidy reception area
Answer multi-line phone systems promptly and courteously, directing calls efficiently using proper phone etiquette
Perform data entry tasks accurately using Microsoft Office applications, Google Workspace, and QuickBooks for bookkeeping and record-keeping
Handle clerical duties such as filing, photocopying, proofreading documents, and organizing office supplies
Support customer service efforts by assisting clients with inquiries and providing excellent customer support both in person and over the phone
Maintain organized electronic and physical filing systems to ensure quick retrieval of documents
Assist with medical or dental office administrative tasks if applicable, including appointment scheduling and patient record management

Requirements

Proven office experience with strong organizational skills and attention to detail
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and QuickBooks for bookkeeping purposes
Excellent computer skills including data entry, typing accuracy, and familiarity with multi-line phone systems
Previous clerical or administrative experience in a professional setting; experience in medical or dental offices is a plus
Strong customer service skills with the ability to handle phone etiquette professionally and courteously
Ability to manage filing systems efficiently and perform proofreading accurately
Demonstrated organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
Experience with front desk operations, including greeting visitors and managing appointments is preferred
