Position: Financial Services Representative
Salary: $60,000 to $70,000 + Annual performance-based bonus

Position Responsibilities and Duties for Investment & Consulting Division
· Collaborate closely with the President to deliver exceptional, high-level service, empowering clients to achieve their financial goals through strategic guidance, unwavering professionalism, and a commitment to excellence in every interaction.
· Conduct investment client intake, discovery, needs-assessment meetings, and client sign-ups while delivering a professional, client-focused experience.
· Drive sales activity through relationship building, approved outreach initiatives, and achievement of individual and team quota objectives.
· Assist with onboarding, account documentation, and service requests in full compliance with company policies, regulatory requirements, and approved procedures.
· Prepare, maintain, and update client profiles, financial snapshots, debt summaries, portfolio updates, and detailed client file notes.
· Maintain accurate CRM records, reporting dashboards, Share Drive documentation, trackers, and management reports with complete transparency and accountability.
· Coordinate contracts, payment intake, invoicing, fee tracking, and electronic-signature processes to ensure efficient file completion.
· Communicate with clients using approved scripts, templates, and procedures while providing exceptional white-glove client service.
· Educate clients on solutions, portfolio status, company services & products, and applicable processes to support informed decision-making.
· Track investment opportunities and client files from initial inquiry through completion, proactively following up on outstanding documentation and requirements.
· Support workshops, webinars, events, and approved marketing initiatives to generate leads and strengthen client relationships.
· Conduct consulting client intake, discovery meetings, needs assessments, and sign-up processes with a consultative, solutions-focused approach.
· Create and maintain client profiles, consultation files, action plans, meeting notes, and follow-up schedules to ensure successful client outcomes.
· Prepare consultation packages, financial snapshots, debt summaries, budgets, and client recommendations for management review.
· Coordinate consulting engagements from intake to completion, ensuring all documentation is accurate, compliant, and properly maintained.
· Liaise professionally with lawyers, accountants, trustees, mortgage brokers, realtors, and other industry professionals to advance client objectives.
· Manage consulting contracts, signing processes, invoicing, fee collection, and electronic documentation with accuracy and efficiency.
· Follow up consistently on outstanding client requirements, action items, and third-party deliverables to maintain momentum and service excellence.
· Deliver red-carpet, white-glove client service standards while building trust, confidence, and long-term client relationships.
· Provide transparent activity reporting, pipeline updates, sales performance metrics, and operational reporting directly to management.
· Demonstrate strong product knowledge, industry awareness, and continuous learning to effectively support clients and contribute to business growth.
Qualifications and Other Requirements:
· Post-secondary education in finance, business administration, economics, accounting, financial planning, or a related field is preferred.
· 3-5 years of previous experience in financial consulting administration, client services, credit management, investments, banking, insurance, wealth management, real estate, or a professional-services environment is an asset.
· Strong understanding of client onboarding, file administration, CRM management, document control, and follow-up procedures.
· Excellent technology skills in using all Microsoft Suite software, including MS Word, MS PowerPoint, MS Excel, Outlook, Google Chrome, etc.
· Familiarity with compliance requirements, privacy standards, anti-money-laundering procedures, and accurate record-keeping is preferred.
· Excellent oral and written communication skills; ability to express ideas and procedures clearly and concisely; ability to work with highly sensitive information
· High attention to detail and commitment to accuracy in client information, reporting, forms, contracts, and financial documentation.
· Advanced Excel skills including VLOOKUP, HLOOKUP, XLOOKUP, sums, drop-downs, PivotTables, Macros, etc.
· Resides near the office in Vaughan (preferred)
· Must have > 50 WPM

Work Schedule and Conditions:
· Work Schedule: Monday, Tuesday & Thursday 12:30 pm to 9:00 pm
· Wednesday & Friday 9:00 am to 5.30 PM
· Every Saturday 8.30 is to 5:00 pm with Wednesday off, and flexibility to work additional hours to meet required deadlines or switch shifts as business needs rise
· Must be comfortable sitting and speaking on the phone for extended periods.
· Daily pressure to meet outreach targets, handle objections, and convert leads into appointments.
