Deluxe Seafood Vancouver Ltd. is a family-owned wholesale seafood company that has proudly supplied restaurants and businesses throughout the Lower Mainland for over 40 years.

We're looking for a friendly, organized, and detail-oriented Office Administrator & Operations Coordinator to join our team full-time in our Vancouver office.

This is an excellent opportunity for someone who enjoys variety, takes pride in staying organized, and likes being an important part of a small team. You'll work closely with our office staff, warehouse, drivers, customers, vendors, and sales team to help keep our day-to-day operations running smoothly.

About the Role

A large portion of this role involves invoicing, data entry, and working in QuickBooks Desktop. You'll support many areas of the business, including customer service, accounting support, inventory administration, and office operations.

Responsibilities

Your day may include:

Preparing customer invoices using QuickBooks Desktop
High-volume data entry with a strong focus on accuracy
Processing customer orders and maintaining customer accounts
Setting up new customer accounts in QuickBooks
Entering vendor bills and assisting with Accounts Payable
Matching vendor invoices to Bills of Lading (BOLs)
Assisting with inventory reports and maintaining product information
Updating customer price lists and fresh/frozen product code sheets
Assisting with recurring supplier orders
Answering phones, responding to emails, and assisting walk-in customers
Providing administrative support to our sales team, including preparing customer quotes and account information
Assisting management with reports, spreadsheets, and various office projects
Maintaining food safety and regulatory documentation, including HACCP, SFCR, and CFIA records
Coordinating with warehouse staff and drivers to support daily operations
General office administration and helping wherever needed

Qualifications

We're looking for someone who has:

Previous office administration experience
Strong computer and data entry skills
Excellent attention to detail and accuracy
Strong organizational and time management skills
Professional communication and customer service skills
The ability to multitask and prioritize in a fast-paced environment
Experience using Microsoft Office (Excel, Outlook, and Word)

The following would be considered strong assets:

Experience using QuickBooks Desktop
Accounts Payable or bookkeeping experience
Experience in wholesale distribution, food distribution, logistics, manufacturing, or a similar industry
Inventory management experience
Familiarity with HACCP, SFCR, or CFIA documentation
If you already know your halibut from your haddock, that's a bonus—but it's certainly not required!
