Service & Parts Representative
Genier’s Appliances is looking for a motivated, organized, and customer-focused Service & Parts Representative to join our team.
In this role, you will be the primary point of contact for customers requiring appliance service and parts support. You will coordinate with customers and technicians throughout the entire service process—from the initial inquiry and appointment scheduling to estimates, repairs, payments, and follow-up.
The ideal candidate is friendly, energetic, organized, comfortable working with computers, and able to manage multiple tasks while delivering an exceptional customer experience.

Key Responsibilities
Customer Service & Communication
- Greet walk-in customers warmly and professionally.
- Answer customer phone calls promptly and handle service and parts inquiries.
- Listen carefully to customers to understand their appliance concerns and service needs.
- Clearly explain service recommendations, repair options, estimates, and related services.
- Maintain regular communication with customers throughout the entire service process.
- Keep customers informed about appointments, technician schedules, repair status, parts availability, and any changes or delays.
- Follow up with customers after service to ensure satisfaction and maintain strong customer relationships.
- Advise customers on proper appliance care and the value of maintaining appliances according to manufacturer specifications.
- Take ownership of the customer experience and create value through continuous, professional communication.
Service Scheduling & Coordination
- Schedule service appointments efficiently and accurately.
- Coordinate daily schedules with technicians to ensure appointments are properly organized and completed in a timely manner.
- Perform customer check-ins and manage the customer experience throughout the service process.
- Handle telephone inquiries regarding appointments, work in progress, repair status, and service-related questions.
- Coordinate with technicians regarding customer concerns, appliance issues, parts requirements, and job status.
- Proactively identify and resolve scheduling and service-related issues.
Estimates, Parts & Sales
- Prepare accurate and thorough repair estimates.
- Present repair recommendations clearly and obtain customer approval before proceeding with work.
- Sell related parts, services, maintenance, and other appropriate solutions in a respectful and informative manner.
- Assist customers with identifying and purchasing appliance parts when appropriate.
- Communicate parts requirements and availability with technicians and customers.
- Follow up on special-order and backordered parts as required.
- Look for opportunities to provide additional value to customers through appropriate services and solutions.
Administrative & Financial Responsibilities
- Create and maintain accurate service records and customer files.
- Enter customer, appliance, service, and repair information accurately into computer systems.
- Process invoices and customer payments accurately.
- Handle cash, debit, and credit card transactions responsibly.
- Maintain accurate records and ensure all required information is documented.
- Use company scheduling, service, parts, and computer systems effectively.
- Perform other related duties as assigned.
Qualifications & Requirements
- Previous experience in a customer service, service department, parts, automotive, appliance, or similar service environment is highly preferred.
- Minimum of 3 years of related experience and/or training, or an equivalent combination of education and experience.
- Strong customer service skills with a friendly, professional, and positive demeanor.
- Strong interpersonal skills and the ability to work effectively as part of a team.
- Excellent verbal communication skills and strong written communication skills.
- Excellent listening skills with the ability to understand customer concerns, interpret issues, and communicate information accurately to technicians and other team members.
- Strong organizational skills and the ability to manage multiple priorities in a busy environment.
- Ability to proactively problem-solve and think logically.
- Comfortable with sales and able to recommend additional services or parts in a helpful, respectful, and informative manner.
- Strong computer skills and the ability to quickly learn new software and computer programs.
- Accurate keyboarding and data-entry skills.
- Ability to work with schedules and manage appointments accurately.
- Good mechanical aptitude and an interest in understanding how appliances work.
- Strong accountability, dependability, and time-management skills.
- Post-secondary education, diploma, or trade certification is an asset but not required.
- Must be able to occasionally lift and carry up to 25 kg (50 lbs).
- Must be able to walk throughout the showroom, shop floor, and parts department, as well as sit and stand for extended periods at the service counter.
