Full job description

Job Overview

Duties & Responsibilities:

Support front desk and reception operations during periods of high call volume, staff absences, break coverage, vacation coverage, and other operational needs.
Act as an administrative floater by providing cross-functional support across departments to ensure continuity of service and efficient day-to-day operations.
Maintain organized filing systems and ensure timely retrieval of information.
Organize and support internal and external meetings, including preparing agendas, taking minutes, and following up on action items.
Maintain databases and update credentials for Members and Permit Workers.
Liaise with vendors and contractors as required.
Create, manage, and maintain trackers for projects, deadlines, schedules, and internal communications.
Assist with operational coverage and administrative workflow management to support team productivity and service delivery.
Anticipate needs and proactively identify areas for process improvements and increased efficiency.
Perform additional administrative, operational, and departmental support duties as assigned.

Skills & Qualifications:

Completion of Post-secondary degree or certification program in a related field.
Joint Health and Safety certification Part 1 & Part 2 an asset.
Minimum of 2 years of verifiable Administrative experience.
Ability to work in person within our office building Monday to Friday 9:00am to 5:00pm and weekends.
Advanced proficiency in Microsoft Office Suites, ability to learn and utilize additional software programs.
Strong analytical and problem-solving skills.
Ability to perform occasional heavy lifting.
Deadline-oriented, highly organized and self-motivated.
Flexible and adaptable approach to changing priorities and task management.
Ability to effectively present information in a clear and concise manner, with integrity and confidentially when needed.
