About the role:
The Leasing Agent plays a critical role in driving occupancy, revenue performance, and resident satisfaction by managing the full leasing lifecycle. This role combines sales excellence, digital marketing execution, regulatory compliance, and customer experience leadership.
The position collaborates closely with Property Managers and internal teams while traveling to properties as required. The Leasing Agent contributes to marketing strategy, monitors market conditions and trends, protects company compliance standards, and enhances Emerald’s brand presence in a competitive rental marketplace
Responsibilities:
- Manage the full leasing cycle, including responding to inquiries, qualifying prospects, conducting property viewings (in-person and virtual), and following up on all active leads to maximize conversion.
- Respond to inquiries through phone, email, text, social media, and digital platforms in a timely, professional, and customer-focused manner.
- Manage and optimize online listings across rental platforms and marketing channels, ensuring accuracy, high-quality presentation, and timely updates.
- Create and publish engaging property marketing content across social media platforms and digital channels to support leasing objectives and enhance brand visibility.
- Capture or coordinate high-quality photographs and video, and compelling, accurate property descriptions to ensure competitive and compliant listings.
- Utilize CRM and property management systems to track prospect activity, maintain accurate records, monitor lead conversion ratios, and support data-driven decision-making.
- Meet or exceed established leasing targets, occupancy goals, and performance benchmarks while contributing to revenue optimization initiatives.
- Ensure all units are properly presented and market-ready, coordinating with maintenance teams to address deficiencies and enhance overall showing readiness.
- Process rental applications in accordance with company policies and applicable legislation, including income verification, credit checks, reference checks, and preparation or updating of lease agreements.
- Ensure full compliance with the Alberta Residential Tenancies Act, Human Rights l egislation, RECA regulations, and fair housing standards.
- Handle personal and sensitive information in strict compliance with Alberta’s Personal Information Protection Act (PIPA), maintaining confidentiality and safeguarding applicant and resident records.
- Maintain complete, organized, and audit-ready lease files and digital documentation in accordance with company standards.
- Co-ordinate move-in and move-out inspections and support a seamless tenant onboarding process in collaboration with Property Managers and administrative assistants.
- Proactively support resident retention initiatives by maintaining follow-up communication, identifying satisfaction trends, and contributing to strategies that reduce turnover and vacancy loss.
- Maintain positive tenant and owner relations by promptly addressing concerns, resolving issues professionally, and ensuring adherence to lease terms and property rules.
- Monitor market conditions and conduct competitive analysis, including tracking comparable properties, incentives, amenities, and vacancy trends, and provide strategic recommendations on pricing and positioning.
- Conduct pre-move-out inspections as required to identify potential deficiencies and recommend improvements or corrections to Property Manager
- Conduct mandatory move-in and move-out inspections in compliance with Alberta regulations, and perform scheduled property inspections to ensure lease adherence and maintain property standards.
- Comply with Occupational Health & Safety (OH&S) regulations and company safety policies and procedures at all times; exercise appropriate safety precautions when working alone.
- Support the development and implementation of leasing strategies that align with organizational goals and legal requirements.
- Protect and enhance the company’s reputation by supporting online review monitoring and resident engagement initiatives.
- Participate in corporate initiatives, meetings, and property management committees as required.
Candidate Requirements:
- Minimum 2 years of experience in residential leasing, property management or real estate.
- Must hold a valid Real Estate Council of Alberta (RECA) Associate license in good standing
- Successful completion of a criminal record check as a condition of employment
- Preferred knowledge of Yardi & other CRM Software or property management software.
- Work hours may vary based on operational requirements and may include working on evenings and weekends as needed.
- Demonstrated proficiency in digital leasing platforms, online marketing tools, and virtual showing technologies.
- Strong communication and interpersonal skills with the ability to build trust and rapport quickly.
- Effective negotiation and sales abilities with a results-driven mindset.
- Ability to create compelling digital marketing content and accurate property advertisements.
- Strong organizational skills with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Detail-oriented with accuracy in documentation, inspections, compliance processes, and data management.
- Ability to handle tenant concerns with professionalism, discretion, and sound judgment.
- Excellent time-management skills and the ability to manage multiple priorities.
