Overview

We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers an exciting opportunity to support daily office operations, enhance workflow efficiency, and provide exceptional customer service. Duties

Manage front desk responsibilities, including greeting visitors and directing phone calls using multi-line phone systems with professionalism and courtesy
Prepare, key in, edit and proofread correspondence, invoices, reports and related material from machine dictation and handwritten copy
Perform data entry tasks accurately using Microsoft Office applications, Google Workspace, and QuickBooks for bookkeeping and record-keeping purposes
Maintain organized filing systems—both digital and physical—to ensure quick retrieval of documents and compliance with record retention policies
Assist with scheduling appointments, meetings, and calendar management to optimize team productivity
Provide customer support through friendly communication, addressing inquiries promptly and efficiently
Support clerical functions such as proofreading documents, preparing correspondence, and managing incoming/outgoing mail
Perform basic bookkeeping tasks using QuickBooks to track expenses, invoices, and payments related to office operations

Skills

Proven experience with office procedures, clerical tasks, and administrative support in a professional setting
Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Docs, Sheets), and QuickBooks
Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment
Exceptional customer service skills with professional phone etiquette and the ability to handle multi-line phone systems confidently
Accurate typing speed combined with keen proofreading abilities to produce error-free documents
Experience working in medical or dental office environments is a plus—familiarity with front desk duties such as patient scheduling and medical/dental office procedures is highly valued
Knowledge of data entry best practices and filing systems for efficient document management
Strong organizational skills to manage multiple responsibilities simultaneously while maintaining attention to detail
