Job Overview
We are seeking a dedicated Part-time Office Administrator to support our daily operations and ensure the smooth functioning of our office environment. This role is ideal for a highly organized individual with strong communication skills and experience in administrative and clerical tasks. The Office Administrator will play a vital role in managing front desk responsibilities, processing accounts payable invoices, preparing customer invoices for parts, service and rentals, entering employee time. The position offers an excellent opportunity for someone looking to contribute to a dynamic team while developing their administrative expertise.

Duties

Manage front desk operations, including automated phone systems and greeting visitors with professional phone etiquette
Perform bookkeeping and accounting tasks
Oversee filing systems, both physical and digital, ensuring documents are organized and easily accessible
Coordinate vendor management activities, including order processing and relationship maintenance
Support office supply management and procurement to ensure operational efficiency
Maintain office organization through effective filing systems and document control processes
Process accounts payable invoices accurately and in a timely manner
Match invoices to purchase orders
reconcile vendor statements and resolve discrepancies
respond to vendor inquiries professionally
prepare and issue customer invoices accurately and promptly

Requirements

Proven experience in office administration, clerical work, or related roles with strong organizational skills
Team management skills are preferred
Excellent communication skills, both verbal and written, along with professional phone etiquette
Strong organizational skills with attention to detail in filing, record keeping, and task prioritization
Experience handling front desk responsibilities
Ability to manage multiple tasks efficiently in a fast-paced environment
Prior office experience demonstrating proficiency in administrative duties is required
Ability to work independently while contributing effectively as part of a team

This part-time position offers an engaging work environment for motivated individuals eager to support organizational success through efficient office management.

Pay: $25.00-$28.00 per hour
