Pugsley Court Agents is a growing legal services company that coordinates process serving, affidavits of service, court document delivery, and related litigation support across Canada and internationally.
Our work involves managing client inquiries, preparing quotes, coordinating process servers, tracking active files, organizing legal documents, preparing affidavits, and communicating with clients throughout the service process.
We are looking for someone who can help us improve and automate the way our business operates.
About the Role
We are hiring a part-time Legal Operations & AI Automation Specialist to help us learn, document, improve, and automate our internal workflows.
This is a hybrid legal operations and automation role. The ideal candidate has some legal, administrative, or litigation-support experience, but is also highly interested in AI tools, workflow automation, systems design, and process improvement.
The role will begin with shadowing and learning our existing systems. If the candidate has relevant legal experience, they may also assist with legal operations tasks earlier in the role. Over time, the goal is for this person to identify bottlenecks and build practical automations that reduce manual work, improve file visibility, and make our operations more efficient.
This is not necessarily a software developer role, but the ideal candidate should be comfortable using AI tools, no-code/low-code tools, Google Workspace, spreadsheets, and workflow automation platforms.
Key Responsibilities
- Learn and document PCA’s current workflow from intake to file completion
- Shadow legal operations tasks, including intake, quoting, file tracking, client communication, process server coordination, and affidavit workflow
- Identify repetitive tasks that can be automated or systematized
- Help improve intake, quoting, and file tracking processes
- Build or assist with automations using AI tools, Google Workspace, Google Sheets, Gmail, FreshBooks, website forms, and related platforms
- Create simple internal systems, templates, trackers, and SOPs
- Help design processes that make it easier to track file status, next steps, assigned contractors, pricing, invoices, and client updates
- Test new automations and suggest improvements
- Maintain confidentiality and handle client information carefully
Initial 60-Day Goals
By the end of the 60-day trial, we would like to have tangible automation processes in place, including some or all of the following:
- A mapped workflow from inquiry to file completion
- A more organized central file tracker
- A better intake capture process from Gmail and/or website forms
- A quoting tool, calculator, or quote-drafting process
- A reminder/status system for active files
- Draft client update templates based on file stage
- A list of future automation opportunities ranked by priority and impact

Ideal Candidate
The ideal candidate is:
- Highly organized and systems-minded
- Comfortable working independently in a remote role
- Interested in legal operations, legal technology, AI, and automation
- Able to learn a business workflow and identify ways to improve it
- Comfortable using spreadsheets and online tools
- Able to build practical automations or learn how to build them
- Careful with confidential information
- A strong written communicator
- Curious, adaptable, and willing to work in a growing startup environment
Preferred Qualifications
- Legal assistant, law student, paralegal, litigation support, or court filing/process serving experience
- Experience with AI tools and prompt-based workflows
- Experience with Google Sheets, Gmail filters, Google Workspace, Zapier, Make, n8n, Airtable, or similar tools
- Experience creating SOPs, workflow maps, or internal systems
- Basic scripting, API, or Google Apps Script experience is an asset but not required
Compensation and Structure
This role will begin as a 60-day paid trial at CAD $150 per week for approximately 5–10 hours per week.
There may be opportunities for ongoing part-time work after the trial period. The role may also evolve over time depending on the candidate’s strengths, including more legal operations work, more automation work, or broader systems management.
