MINIMUM FORMAL EDUCATION/TRAINING:
- Completion of a formal training program in a related discipline from a recognized institute is required.
- Post-secondary degree is an asset.
- An acceptable equivalent combination of education and experience may be considered.
EXPERIENCE:
- Four years of directly related experience is required.
- Familiarity with Horizon website, MCIEB or MIAP is preferred.
- Experience working with Elders, Indigenous Peoples, Indigenous communities, and educational institutions is required.
- Previous administrative experience in an academic setting is preferred.
- An acceptable equivalent combination of education and experience may be considered.
SKILLS AND ABILITIES:
- Ability to be highly organized, detail-oriented, and able to manage multiple priorities and meet deadlines required.
- Demonstrated strong time management, problem-solving, and critical thinking skills required.
- Ability to work independently, exercise sound judgment, and maintain accuracy under pressure is required.
- Excellent written and verbal communication skills, with proven professionalism and diplomacy across diverse environments required.
- Demonstrated ability to build and maintain effective working relationships with internal and external stakeholders is required.
- Understanding and respect for Indigenous cultures, protocols, and communities is required; demonstrated cultural awareness and sensitivity.
- Demonstrated emotional intelligence and a trauma-informed approach is required.
- Proficient in Microsoft Office applications, including Word and Excel (spreadsheets and basic data management) is required.
- Experience with web content management and ability to troubleshoot basic website issues is required.
- Knowledge of University financial systems (Aurora, EPIC, Concur) is required.
- Ability to coordinate, track, and monitor tasks, projects, and deliverables is required.
- Ability to process high volumes of work with accuracy and attention to detail is required.
- Satisfactory work record, including attendance and punctuality is required.
Research and Analysis
- Collaborates with the MCIEB Manager and partners to support the design and delivery of qualitative and quantitative research, including environmental scans, jurisdictional reviews, and program evaluations.
- Works with institutional, community-based, and partner sources to gather and integrate data that contributes to shared analysis and evidence-informed recommendations.
- Contributes to the development of briefing materials, reports, and presentations by synthesizing and translating data for a range of audiences, including senior leadership.
- Applies Indigenous research methodologies and works in alignment with decolonizing approaches to support culturally appropriate and ethical information gathering and sharing.
- Supports the development and ongoing refinement of evaluation frameworks, performance indicators, and reporting tools in collaboration with partners.
- Monitors project progress alongside the team, helping to identify potential risks or gaps and contributing to solutions.
Project and Event Coordination
- Works collaboratively with internal and external partners to coordinate projects involving multiple stakeholders, supporting alignment with MCIEB priorities.
- Coordination of events (e.g., conferences, consultations, Council meetings), including logistics and preparation of materials.
- Organizes virtual, hybrid, and in-person events, working with others to manage technology platforms, accessibility, and participant engagement.
- Supports working groups and advisory meetings, helping to develop draft agendas, facilitate discussions, and support follow-up on shared action items.
- Works with partners to integrate Indigenous protocols, cultural practices, and community engagement principles into project and event activities.
Project Communications & Partnership Coordination
- Works with the MCIEB Manager and partners to contribute to communications materials that support project visibility, stakeholder engagement, and knowledge mobilization.
- Drafts briefing notes, reports, and presentations in collaboration with team members.
- Maintains ongoing relationships with diverse stakeholders, supporting collaboration and alignment of shared priorities.
- Coordinates information flow across partners to support timely, accurate, and culturally appropriate communication.
Financial and Administrative Coordination
- Operates within project and event budgets, including maintaining a shadow budget.
- Revises and updates contracts and service agreements in alignment with university processes.
- Maintains organized project documentation and supports reporting processes to ensure accountability.
- Works with the team to coordinate administrative processes and improve systems that support project delivery.
- Other duties as assigned.
