Full job description

We are looking for an experienced, organized, and dependable Office Administrator / Bookkeeper to join our team.

This is a hands-on role for someone who can manage day-to-day office administration, customer communication, bookkeeping, payroll, and financial record keeping.

Key Responsibilities

· Answer incoming phone calls and assist customers professionally

· Respond to customer emails and general inquiries

· Direct calls and emails to the appropriate staff when required

· Provide excellent customer service and follow up on outstanding inquiries

· Manage day-to-day bookkeeping and financial records

· Enter and categorize expenses and transactions in QuickBooks

· Accounts payable and accounts receivable

· Bank and credit card reconciliations

· Process and review payroll

· Maintain employee payroll and related records

· Prepare internal financial reports for management

· Track expenses, invoices, payments, and outstanding accounts

· Maintain accurate records and supporting documentation

· Use Excel for scheduling, reporting, reconciliations, tracking, and analysis

· Assist with budgeting and expense tracking

· Work with our external accountant/bookkeeper as required

· General office administration, filing, and organization

· Identify discrepancies and ensure records are accurate and up to date

Qualifications

· 5+ years of bookkeeping and/or senior administrative experience

· Strong working knowledge of QuickBooks

· Strong Microsoft Excel skills

· Experience processing payroll

· Experience with accounts payable and accounts receivable

· Strong understanding of bookkeeping principles

· Strong telephone and email communication skills

· Excellent customer service skills

· Excellent attention to detail

· Highly organized and able to manage multiple priorities

· Comfortable working independently and taking ownership of responsibilities

· Strong communication and problem-solving skills

Excel Experience

Applicants should be comfortable working beyond basic data entry, including:

· Formulas and functions

· Sorting and filtering large amounts of data

· Creating and maintaining spreadsheets

· Reconciliations

· Pivot tables

· Preparing management reports

What We’re Looking For

We are looking for someone who is experienced, proactive, accurate, professional, and accountable. This person should be equally comfortable speaking with customers on the phone, responding to emails, working in Excel, processing payroll, and managing our internal bookkeeping.

Experience working in a service, construction, landscaping or trades business would be considered an asset.

Position: Full-Time
Schedule: Monday–Friday
Location: North York, ON
Compensation: $25hr

Pay: $25.00 per hour

Expected hours: 40.0 per week

Work Location: In person
