JOB DESCRIPTION: HEAVY EQUIPMENT PARTS & PROCUREMENT COORDINATOR

POSITION PROFILE
The Heavy Equipment Parts & Procurement Coordinator supports the daily supply chain, parts procurement, inventory control, and logistics operations for Union Tractor’s multi-brand heavy equipment parts business. This position is heavily focused on sourcing, ordering, tracking, and coordinating heavy equipment parts and components required to support customer equipment uptime, service operations, and operational efficiency.
Working under the direction of the Supply Chain Manager, the coordinator plays a key role in maintaining parts availability for construction, mining and heavy-duty equipment across multiple OEM and aftermarket product lines. The role requires strong attention to detail, urgency in responding to parts requirements, and the ability to work closely with service, warehouse, procurement, and supplier teams to ensure timely delivery of critical components.
KEY RESPONSIBILITIES
1. Heavy Equipment Parts Procurement
· Coordinate procurement activities for heavy equipment parts, components, consumables, and shop supplies.
· Prepare and process purchase orders for OEM and aftermarket heavy equipment parts.
· Source parts from approved suppliers, manufacturers, distributors, and vendor networks.
· Monitor supplier lead times, backorders, and shipment status to minimize equipment downtime.
· Support emergency and rush parts orders required by service operations and customers.
· Maintain communication with vendors regarding pricing, availability, warranties, and freight requirements.
· Assist in obtaining quotations and comparing supplier pricing to support cost control initiatives.
Support supplier relationship management activities and vendor performance tracking.
2. Parts Inventory & Warehouse Coordination
· Assist with maintaining accurate inventory levels for heavy equipment parts and components.
· Monitor stock levels, replenishment requirements, and inventory shortages.
· Support cycle counts, inventory audits, and stock reconciliation activities.
· Coordinate with warehouse personnel regarding receiving, stocking, and order fulfillment activities.
· Identify slow-moving, obsolete, or excess inventory and report findings to management.
· Support inventory organization initiatives to improve warehouse efficiency and parts accessibility.
· Assist with parts returns, warranty claims, and supplier discrepancies.
3. Service & Operational Support
· Work closely with service departments to prioritize urgent parts requests for equipment repairs and maintenance.
· Coordinate incoming and outgoing shipments of heavy equipment parts.
· Track inbound freight and delivery schedules to ensure timely parts availability.
· Communicate parts status updates to internal departments and operational teams.
· Assist with equipment down situations by expediting critical parts orders and supplier follow-up.
· Support operational efficiency by ensuring accurate documentation and timely order processing.
4. Logistics & Supplier Coordination
· Coordinate freight arrangements, courier services, and transportation activities related to parts shipments.
· Monitor shipment tracking and resolve delivery issues with suppliers and freight providers.
· Support customs, import/export, and shipping documentation requirements where applicable.
· Ensure accurate receiving documentation and shipment verification processes.
5. Systems, Reporting & Administration
· Maintain accurate purchasing, inventory, and supplier records within ERP and inventory management systems.
· Prepare reports related to parts purchasing, inventory levels, backorders, and supplier performance.
· Support data entry, invoice matching, and procurement administration activities.
· Assist in developing and maintaining standard operating procedures related to parts procurement and inventory management.
· Participate in continuous improvement initiatives related to supply chain and warehouse operations.
6. Compliance & Safety
· Ensure procurement and inventory activities comply with company policies and operational procedures.
· Follow workplace safety requirements within warehouse and operational environments.
· Support compliance with transportation, supplier, and inventory documentation standards.
QUALIFICATIONS & EXPERIENCE
· Diploma or post-secondary education in Supply Chain Management, Logistics, Business Administration, or a related field preferred.
· 1–3 years of experience in heavy equipment parts, procurement, inventory control, logistics, warehouse operations, or supply chain coordination.
· Experience within the heavy equipment, construction equipment, industrial equipment, or agricultural equipment industry is strongly preferred.
· Working knowledge of heavy equipment parts, components, and service operations is considered a major asset.
· Basic understanding of inventory management, procurement processes, and warehouse operations.
· Experience using ERP systems, inventory management software, and Microsoft Office applications.
· Strong organizational skills with excellent attention to detail and accuracy.
· Ability to prioritize urgent parts requests and manage multiple tasks in a fast-paced operational environment.
· Strong communication, teamwork, and customer service skills.
