Full job description

Island Mediquip is an Island-owned and operated company, proudly serving Vancouver Island since 2003, with locations located across Vancouver Island.

Currently, Island Mediquip is looking for a Service Coordinator to join its Victoria location. With an attention to detail and strong organizational skills, the Service Coordinator supports the needs of our customers in Southern Vancouver Island.

Overview:

The Service/Rental Coordinator is responsible for managing and coordinating service operations, to ensure the delivery of high-quality support to our clients. This role involves scheduling service appointments; preparing paper documentation; dispatching technicians; documenting & maintaining client records, and ensuring efficient workflow within the service department. The ideal candidate will have excellent organizational skills, strong communication abilities, and a customer-focused attitude.

Key Responsibilities:

Scheduling & Coordination

Schedule and manage service appointments, ensuring timely and efficient service delivery.
Dispatch service technicians based on skill set, location, and availability.
Monitor and track service requests, and ensure their completion within established timeline.

Customer Support

Serve as the primary point of contact for clients, addressing their inquiries and resolving issues promptly.
Communicate effectively with clients to provide updates on service status, and appropriately manage expectations.
Gather customer feedback in order to improve service quality and client satisfaction.

Documentation & Record Keeping

Maintain accurate records of service requests, work orders, and client interactions.
Update and manage service schedules and logs in the company’s ERP software.
Prepare reports on service activities, technician performance, and client satisfaction.

Team Collaboration

Collaborate with service technicians to ensure they have the necessary information and resources to perform their tasks.
Work closely with other departments in order to coordinate and optimize service delivery.
Participate in team meetings to discuss service performance and address areas for improvement.

Quality Assurance

Ensure compliance with company policies, procedures, and industry regulations.
Conduct follow-up calls with clients to confirm satisfaction, and address any post-service issues.
Identify and implement process improvements to enhance service efficiency and effectiveness.

Qualifications:
Education and Experience:

Bachelors Degree or Associate Degree in a related field is preferred, but not required.
Minimum of 2 years of experience in a customer service, coordination, or administrative role.

Skills and Competencies:

Strong organizational and time management skills.
Excellent verbal and written communication abilities.
Proficiency in using CRM and service management software.
Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
Strong problem-solving skills and attention to detail

Other Requirements:

Ability to work independently and as part of a team.
Flexibility to work outside regular business hours if necessary.

Job Type: Full-time

Pay: $23.00 per hour

Expected hours: 40.0 per week
