Language Assets Coordinator (6-Month Contract)
The Language Assets Coordinator manages the creation, tracking, and delivery of subtitles, dubbing materials, scripts, and metadata for global distribution. This role works closely with clients, vendors, sales teams, and internal stakeholders to ensure language assets are delivered accurately, on time, and in accordance with technical and quality standards.
This role will report to the Senior Director, International Distribution and Business Operations and is a hybrid position requiring in-office attendance at our head office in Toronto for a minimum of three (3) days per week.
The anticipated salary range for this role is $50,000 - $60,000 per year, with final compensation determined by experience and qualifications.
Core Responsibilities and Duties
- Sales & Requests
- Fulfill global language asset requests, including subtitles, dubs, scripts, and related metadata.
- Review incoming requests to confirm availability, scope, and technical requirements.
- Language Asset Management
- Oversee the full lifecycle of language assets from request through delivery.
- Act as the main contact for sales agents, clients, and vendors on all language-related materials.
- Coordinate with internal teams and external vendors to source, create, and deliver language assets.
- Track progress of all language versions, ensuring deadlines and client specifications are met.
- Resolve issues related to missing, delayed, or rejected language materials.
- Vendor & Workflow Coordination
- Collaborate with localization vendors, dubbing studios, and subtitle providers to manage workflows.
- Ensure all language assets meet required technical and quality standards.
- Manage version control and maintain accurate records of all language deliverables.
- New Client & Project Support
- Support onboarding of new clients by aligning on language requirements and delivery expectations.
- Assist in defining workflows for new language projects and territories.
- Systems & Tracking
- Maintain language tracking tools and databases, ensuring data accuracy and consistency.
- Provide regular updates to stakeholders on language asset status and delivery timelines.
- Support process improvements to streamline language versioning workflows.
Qualifications and Experience
- High proficiency in Excel or specialized project management tools (like Airtable) to track hundreds of moving parts simultaneously.
- Understanding of descriptive and technical metadata related to language assets for global storefronts.
- Deep knowledge of subtitle formats (SRT, STL, SCC, VTT, DFXP/TTML) and dubbing audio specifications.
- Expert-level organization to manage multiple language tracks (Dubs, M&Es, Forced Narratives) for a single title.
- Ability to work with legal documentation to extract language assets terms.
- A mindset for improving workflows to reduce "time-to-market" for localized versions.
- Providing clear, concise status updates to internal stakeholders regarding the readiness of international versions.
- Knowledge of linguistic QA processes to ensure cultural accuracy and synchronization.
